Notice of General Meeting
NOTICE of GENERAL MEETING in the Clubhouse, Fulford Heath Golf Club, Tanners Green Lane, Tanners Green, Wythall, Birmingham, Worcestershire, B47 6BH on THURSDAY 26TH MARCH 2026 at 7:00 p.m.

The Board of Directors invites all eligible voting members to a General Meeting on Thursday 26th March 2026, in the Clubhouse, Fulford Heath Golf Club, Tanners Green Lane, Tanners Green, Wythall, Birmingham, B47 6BH, 7pm start, to discuss and vote on a Special Resolution, referred to as “Special Resolution 1” for this meeting.

The Board wishes to consult the membership, and in accordance with Article 13 of our Club Articles of Association which state, “The Board shall have the power to propose levies, in order to raise funds for the benefit of the Club, and such levies to be approved at the General Meeting.”

This Special Resolution is, ‘To approve a one-off Course Drainage Levy per member, payable May 31st, 2026, with the 2026/27 membership subscriptions for the sole purpose to complete the course drainage program’.

The proposal is for a levy which may be added to membership subscriptions for the 2026/2027 year only. Membership invoices are due to be issued on Thursday 2nd April 2026, with payment required by 31st May 2026, in preparation for the new subscription period from 1st June 2026 to 31st May 2027.

Rationale:
As outlined in our email to members on Friday 28th November 2025, the Board has been exploring options to fund the second phase of the planned course drainage works. Following further consideration, the Board believes that a one-off levy represents the most effective and simplest way to raise the majority, or all, of the required funds (c.£100,000) to complete the drainage improvements on the fairways and greens.

Financing the project in this way avoids future financial liabilities for the Club which could place restrictions on our actions going forward.

Completing this drainage project by March 2027 will protect the course against changing weather conditions, improve year-round playability, and ensure the Club meets current and future environmental standards. In combination with our existing irrigation lake, this investment will improve the overall quality and secure the long-term sustainability of the course.

You will be asked to vote for one only of the following options:

• Option 1: Either £200 or £100 levy
• Option 2: £100 only levy
• Option 3: No levy should be applied.

Once the votes are counted and reported, the Board will review and consider which, if any, levy to apply. We will of course notify members regarding the outcome of this review prior to 2026/2027 membership invoices being issued.

In the event of a one-off levy being applied, new members joining the club would also contribute the same amount as a joining fee.

Proposed levy structure (if applied):
• Full, 5-Day Restricted, and Intermediate Members: 100% of the levy.
• Lifestyle Members: 75% of the levy.
• Country Members: 75% of the levy
• Affiliate Members: 75% of the levy.
• Membership upgrades: Any member upgrading to Full, 5-Day Restricted or Intermediate memberships would pay the levy difference between current to new membership category.
• New Members: Any new members joining the club would pay the respected levy as a joining fee.

In the unlikely event that the second phase of the drainage works do not proceed, all monies received will either be credited back to members via BACS transfer, or transferrable to bar card account.

Proxy Forms:
All proxy forms were emailed to members eligible to vote (full, 5-day and intermediate members) on Friday 20th February . This can be printed, completed, and returned to the Club Office either physically, or scanned and returned digitally.

If you are unable to print the form yourself, you may visit the office in person and request a copy, which will be printed for you to complete.

Alternatively, you can e-mail office@fulfordheathgolfclub.co.uk to request that a proxy form is posted to you.

We will also have a folder available in the club foyer; upon request, we can print your proxy form and leave it in this folder for you to collect at your convenience.

Please note that proxy forms may only be requested by, and issued to, the individual member concerned. Requests cannot be made on behalf of other members.

All proxy forms must be returned to the Club Office or office@fulfordheathgolfclub.co.uk by Tuesday 24th March at 7.00pm. Any proxy votes received after this time will not be eligible to be included in the count.
